How to Prepare a Flag Printing RFQ for UAE Suppliers

A useful flag printing quotation request gives every UAE supplier the same product brief, artwork reference and receiving requirement. It should be detailed enough to compare offers without forcing suppliers to guess, but clear about decisions that still need advice. Start with a short schedule for the printed items, then list hardware, packing and services separately. This makes both the price comparison and the eventual purchase order easier to review.

A complete RFQ gives every supplier the same basis for a quotation.

Describe the product and use

State your organisation, intended display location, quantity, shape and finished dimensions. Identify whether the requirement is a company pole flag, table flag, pennant or portable advertising system. Include indoor or outdoor use without inventing a performance specification you do not need. If replacing an existing flag, send its SKU and attachment photographs, and note whether the old size and hardware must be retained.

Define print and finishing questions

Provide the approved logo source and identify any text, sponsor marks or artwork variants. State the desired appearance on each side and ask the supplier to describe the offered construction. List known finishing requirements such as a sleeve, header or eyelets. Where you need advice, mark the decision as open rather than leaving a blank that could produce several incompatible interpretations of the same RFQ.

Separate goods from additional scope

Identify poles, bases, stands, carrying bags, delivery and any setup assistance as individual requirements. Describe the surface and existing equipment where compatibility matters. For multi-site orders, provide pack allocations and receiving contacts. If the venue needs a specific declaration or document, attach the actual requirement and ask whether it can be met; do not assume every textile automatically carries every requested property.

Set approval and timing milestones

Specify the date the order must be received, the delivery address and access conditions. State when artwork can be finalised and who will approve the proof. Adobe recommends resolving file issues before print output, so ask which file format and product template the supplier requires. If a physical sample is requested, ask for its scope, cost and effect on the programme separately from the production order.

Request an offer you can compare

Ask the quotation to identify the proposed fabric, finished construction, quantity, included accessories, price, taxes, delivery scope, validity and exclusions. Request optional alternatives on separate lines. Send the same final RFQ to all bidders and keep clarification answers in a shared record. Orient Uniforms FZE can review a flag enquiry through the listed contact channels; the accepted quotation should confirm all outstanding product and commercial decisions before ordering.

Questions & answers

What files should I attach to an RFQ?

Attach the best logo source, a simple quantity schedule, relevant hardware photographs and any venue requirement. Ask for the supplier's actual artwork template.

Can I request alternatives in the same enquiry?

Yes. Keep the baseline requirement clear and ask suppliers to identify each alternative's construction, scope and price separately so comparison remains meaningful.
